We built Watch My Date to make the visa-bulletin record legible, and we treat the information you bring to it with care. This policy describes our practices in plain language; defined terms (like "Service") have the meaning given in our Terms of Service.
1. Who we are
Watch My Date (WatchMyDate.com) is operated by HiveCode LLC ("we," "us," "our"), the controller of personal information processed through the Service. You can reach us about privacy at privacy@watchmydate.com or by mail at 95 Oakland Ave, Deer Park, NY, USA.
We are based in the United States and our Service is directed to a U.S.-focused, general audience; we do not specifically target the European Economic Area or the United Kingdom. Where we nonetheless process the personal data of people in those regions, we aim to honor the rights described in this policy.
2. Scope
This policy covers personal information we process when you visit the site, create an account, use our trackers and archive, subscribe to a paid plan, or contact us. It does not cover third-party sites we link to (such as government sources), which have their own policies.
3. Information we collect
| Category | Examples | Source |
|---|---|---|
| Account information | Email address, password (stored only as a secure hash), and — if you sign in with Google — your basic Google profile (name, email, avatar) | You / Google sign-in |
| Information you enter | Priority date, visa category, country of chargeability, and similar inputs you choose to provide to the trackers | You |
| Subscription & billing | Plan, transaction history, and billing status. Card details are collected and stored by our payment processor, not by us | You / payment processor |
| Usage & device data | Pages viewed, approximate location from IP, browser and device type, referring page, and timestamps | Automatic |
| Communications | Messages you send us and our replies | You |
| Cookies & similar tech | Session and consent cookies, plus analytics cookies after you consent — see the Cookie Policy | Automatic / with consent |
You control what you enter. The trackers work without your name, case number, or any official identifier. We ask you not to submit more personal detail than you need to.
4. How and why we use your information
We use personal information to:
- Provide, maintain, and secure the Service and your account;
- Process subscriptions, payments, renewals, and cancellations;
- Respond to your messages and support requests;
- Understand and improve how the Service is used, through privacy-respecting analytics;
- Detect, prevent, and address fraud, abuse, and security issues;
- Comply with legal obligations and enforce our Terms.
Legal bases (for EEA/UK users). Where the GDPR applies, we rely on: performance of a contract (running your account and subscription); legitimate interests (securing and improving the Service, in a way that does not override your rights); consent (non-essential cookies and analytics, which you can withdraw anytime); and legal obligation (tax, accounting, and lawful requests).
5. Changes to our practices
This policy describes our current practices. We may change how the Service works — including how we use data, and whether we introduce advertising or other features — as the business evolves. If our practices change, we will update this policy and, where the law requires, give notice and obtain any necessary consent before the change takes effect. Statements about what we do "today" describe the present and are not a permanent commitment.
6. Cookies & analytics
We use a small set of cookies to keep you signed in and, with your consent where required, Google Analytics 4 to understand usage. We use no advertising cookies and no cross-site tracking today. You can manage your choices at any time; full detail, including the cookie inventory, is in our Cookie Policy. We honor a Global Privacy Control signal as described in §12.
7. Sensitive information
The inputs you provide — such as visa category and country of chargeability tied to your account — could, in combination, reveal information some laws treat as sensitive (for example, immigration status, or information related to national origin). We do not ask for this to infer protected characteristics, and we do not use it to make decisions about you. We process it only to provide the trackers you ask for, and we do not use or disclose sensitive personal information for purposes that, under the CCPA/CPRA, would give you a right to limit that use.
8. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only with:
- Service providers (processors) who run the Service on our behalf — hosting and database, authentication, payment processing, email delivery, and analytics — under contracts that limit their use of your data to providing those services. [List your actual sub-processors here, e.g. Supabase, Railway, your payment processor, your email provider, and Google Analytics.]
- Authorities or others when we believe in good faith it's required by law or legal process, or to protect the rights, safety, and security of our users, the public, or HiveCode LLC.
- In a business transfer — if we're involved in a merger, financing, acquisition, or sale of assets, your information may transfer as part of that deal, subject to this policy.
9. Automated decision-making
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing, and we do not engage in profiling of that kind. Our charts and trackers are illustrative tools, not decisions about your case.
10. Where your data is stored
Our infrastructure and data are hosted in the United States. If you access the Service from outside the U.S., you understand your information will be processed in the U.S., where data-protection laws may differ from those in your country. Where we transfer personal data of EEA/UK individuals, we rely on appropriate safeguards (such as the Standard Contractual Clauses) where required.
11. How long we keep information
We keep personal information only as long as needed for the purposes above, then delete or anonymize it:
- Account & entered information — for as long as your account is active, and deleted within [timeframe, e.g. 30 days] of account closure, except where we must retain it longer by law.
- Billing records — retained as required by tax and accounting law (typically several years).
- Analytics data — retained for [retention period, e.g. 14 months], then deleted or aggregated.
- Support messages — kept as long as needed to handle your request and our records.
12. Your rights & choices
Depending on where you live, you may have some or all of these rights: to access the personal information we hold, to correct it, to delete it, to port it, to object to or restrict certain processing, to withdraw consent, and to opt out of any sale or sharing (we do neither today). You also have the right to not be discriminated against for exercising these rights.
How to exercise them
Email privacy@watchmydate.com with your request. We'll verify your identity (usually via your account email) and respond within the time your law allows — generally 30 days under the GDPR and 45 days under the CCPA/CPRA, with extensions where permitted. An authorized agent may submit a request on your behalf where the law allows.
Global Privacy Control
Where required, we treat a recognized Global Privacy Control (GPC) signal from your browser as a valid request to opt out of non-essential cookies and of any "sale" or "sharing" the law covers.
EEA/UK and other regions
If you're in the EEA or UK, you may lodge a complaint with your local supervisory authority. We have not appointed an Article 27 representative because we do not target these regions; if our practices change such that one is required, we will appoint one and update this policy.
If you're a California resident, you may also have the right to know the categories of information we collect and the purposes for which we use them — all of which are described above.
13. Security
We use technical and organizational measures appropriate to the risk — including encryption in transit, hashed passwords, access controls, and reputable infrastructure providers — to protect your information. No method of transmission or storage is completely secure, so we can't guarantee absolute security, but we work to protect your data and to address incidents promptly.
14. Children
The Service is intended for adults (18 and over) and is not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact privacy@watchmydate.com and we will delete it.
15. Third-party links
The Service links to external sites, including official government sources. We are not responsible for the privacy practices of those sites; review their policies before sharing information with them.
16. Changes to this policy
We may update this Privacy Policy from time to time. The "last updated" date above reflects the latest revision, and for material changes we will provide reasonable notice as required by law. Your continued use of the Service after a change takes effect means you accept the updated policy.
